Automations in GoHighLevel, HubSpot and Zapier, plus AI workflows.
We build automations that move leads, bookings and follow-ups between the tools you already use, so nothing waits on someone retyping it. They fit a business where leads arrive in several places and follow-up depends on memory.
Automation fits a process that already works on paper but depends on someone remembering.
Good fit
- Leads arrive by form, phone, Facebook and email, and someone copies them by hand.
- Quotes go out and nobody follows up.
- Calls missed after hours never get a reply.
- Past customers never hear from you again.
Not a fit
- A process that does not work by hand. Automating it makes it fail faster.
- Leads nobody will answer. Routing them faster does not help.
Most of what we build gets a lead a fast reply and makes sure a booked job is not forgotten.
- Missed-call text back, so a caller you missed hears from you in minutes.
- Speed to lead: a new form or Facebook lead goes to your CRM, gets a reply by text and email, and is assigned to a person.
- Quote follow-up that runs until the customer books or says no.
- Review requests sent when a job is marked complete.
- Reactivation of past customers and leads who agreed to hear from you.
- Booked jobs sent back to Google Ads as offline conversions, so the ad account learns which clicks became work.
- AI workflows: call and form summaries, draft replies and lead sorting, with a person approving what customers see.
We map the flow on one page before we build anything, and test with fake leads first.
- Week 1
Map
Where each lead comes in, who answers, how fast, where it stalls, and which tool holds the record. We write it as a one-page flow and agree on it with you.
- Week 2
Build and test
The workflows are built and tested with test leads, not your customers.
- Week 3
Run side by side
The automation runs next to your current process with real leads, and we compare the two.
- Week 4
Switch and hand over
We switch over and write a short guide to each workflow. Each one gets an owner on your team.
This is how a small project usually runs, not a fixed schedule. Larger projects take longer, and the timeline goes in the quote.
Hours saved is a guess, so we measure reply speed and booked jobs before and after.
Before we switch anything on, we record the month before: how fast leads got a first reply, how many got none, how many quotes were followed up, and how many booked. After launch we report the same numbers each month, so you can see what changed.
Where the automation sends booked jobs back to your ad account, the same booked jobs show up in your cost per booked job.
Texts go only to people who agreed to get them, and AI drafts but does not decide.
- Texting is registered. Business texting in the US on a regular phone number needs carrier registration, known as A2P 10DLC. We set it up before the first text goes out.
- Consent comes first. Marketing texts and emails go only to people who agreed to get them, and every message has a way to stop.
- A person approves AI replies before customers see them, unless you decide a message is safe to send on its own, like a booking confirmation.
- Callers are told first. A call summary needs a recording, so callers hear a recording notice before we record or summarize anything.
- No patient information goes to an ad platform, for clinics and practices.
- You own it. Workflows live in accounts you own, and we work under our own user where the tool allows it, so you can remove us any time.
We do not publish a client automation result yet, and we run our own intake on the same kind of workflow.

The audit request form on our homepage runs on a workflow we built. Each request lands in our lead sheet and our CRM, with what you told us attached.

Our team holds six HubSpot Academy certifications.
Start with a paid AI consultation, then build only what earns its keep.
- AI consultation, $2,500. We look at how leads, calls, follow-up and your tools work today. You get a written plan: what to automate first, what it takes, and a fixed price for the build. The fee comes off the build if you go ahead within 60 days.
- Build, from $7,500 per two-week block. You approve each block before it starts, and you can stop after any block.
- Run, from $1,500 a month on a 12-month term. We host, monitor, fix and improve the system and report on it every month. AI, texting and hosting usage is billed at cost.
- Who owns what. We own the custom software we build and license it to you while you subscribe. Your data, accounts and customer lists stay yours, and you can export them any time.
Use the tool your team already opens every day, if it can do the job.
Which tool should I use?
The one your team already uses, if it can do the job. GoHighLevel puts texting, calls and a sales pipeline in one place. HubSpot is strong for email and deal pipelines. Zapier connects tools that have no direct link.
Do you need my passwords?
No. You add us as a user where the tool allows it, and you can remove us any time.
Can AI answer my customers?
It can draft replies, summarize calls and sort leads. We set it up so a person approves what customers see, unless you choose otherwise for simple messages.
What does it cost?
Automations inside your own tools are quoted per project, after we map the flow with you. Custom AI work starts with a $2,500 consultation. You see every price before we start.
Start with a free basic audit, and tell us where your leads stall in the optional questions.
Five short fields, no call needed. The basic audit is free. A deeper audit is paid, and we tell you the price before we start.
